Account Information

When you create an account, we collect your name, email address, and authentication credentials. If you sign in with Google, we receive your name, email, and profile picture from Google.

Profile & Career Data

You may provide career information such as work experience, education, skills, resumes, cover letters, and job application details. This data is stored to power your career management workflow.

Calendar Data

If you connect your Google Calendar, we access your calendar events in read-only mode (using the calendar.events.readonly scope) to import interview schedules. We do not modify or delete your calendar events.

Usage Data

We collect standard usage data such as pages visited, features used, browser type, and IP address to improve our service.

2. How We Use Your Information

• Provide and operate the CareerOS platform
• Generate AI-powered resume content, job insights, and interview preparation materials
• Import and display your interview schedule from Google Calendar
• Send account-related notifications (verification, approvals)
• Improve and develop new features
• Ensure security and prevent abuse

3. AI Processing

We use third-party AI services (such as OpenAI and Anthropic) to generate resume content, analyze job descriptions, and provide interview preparation. Your career data may be sent to these providers for processing. We do not use your data to train AI models. These providers process data according to their own privacy policies and data processing agreements.

4. Data Sharing

We do not sell your personal information. We may share data with:

• Service providers — hosting (DigitalOcean), AI processing (OpenAI, Anthropic), email delivery, and other infrastructure partners necessary to operate the platform
• Your organization — if you join an organization on CareerOS, organization admins may see your profile and activity within that organization
• Legal compliance — when required by law or to protect our rights

5. Data Storage & Security

Your data is stored on secure servers. We use encryption for sensitive data (including OAuth tokens), HTTPS for all connections, and follow industry-standard security practices. Access to your data is restricted to authorized personnel only.

6. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law or for legitimate business purposes.

7. Your Rights

You have the right to:

• Access and download your personal data
• Correct inaccurate information
• Delete your account and associated data
• Disconnect third-party integrations (e.g., Google Calendar) at any time
• Opt out of non-essential communications

8. Cookies

We use essential cookies for authentication and session management. We do not use third-party tracking cookies or advertising cookies.

Our service may contain links to external websites. We are not responsible for the privacy practices of these third-party sites.

10. Children's Privacy

CareerOS is not intended for users under the age of 16. We do not knowingly collect personal information from children.

We may update this privacy policy from time to time. We will notify users of significant changes via email or an in-app notice. Continued use of the platform after changes constitutes acceptance of the updated policy.
